Privacy Policy

The short version: to sign in and sync your work across devices, CheckoutProof stores your account email and your tenancy records (inventory items, condition notes, and photos) in a secure cloud database (Google Firebase). We use it only to run the app for you. We do not sell your data, and we never see or store your card details.

What we store, and where

To provide accounts, backup, and multi-device sync, the following is stored in Google Firebase (Firestore database and Firebase Storage), our data processor:

• Your account email and authentication details.
• Your tenancy records — property addresses or labels, tenancy dates, occupant counts, inventory items, condition and cleanliness notes, and the name typed to sign a check-in.
• The photographs you capture or attach.

This data is scoped to your account (or your organisation, if you invite team members) and is not accessible to other users. Firebase is operated by Google; see Google's privacy and security documentation for how their infrastructure protects data in transit and at rest.

If you use the app without signing in, or before Firebase is configured, your data stays on your device only.

Purchases

In-app purchases are processed by Apple or Google, and payment records are handled by them and by our purchase provider (RevenueCat) so we can unlock what you paid for. We never see or store your card details. We receive an anonymous device identifier and which product was purchased — not your name or payment information.

Permissions we request

Camera and photo access, solely so you can photograph the property and its contents for your inventory. We do not request location, contacts, or advertising identifiers.

How your data is used

Only to provide the app's function: producing an inventory and an estimated deposit-deduction figure and evidence pack for you. We do not use it for advertising or profiling.

Sharing

We do not share your inventory content with third parties. Sharing happens only when you export or print an evidence pack and choose to send it — for example to your tenant or deposit scheme.

Retention and deletion

You can delete a tenancy inside the app at any time, which removes its records and photos from the cloud. To delete your entire account and all associated data, email support@checkoutproof.co.uk and we will erase it.

Children

CheckoutProof is intended for adults managing rental property and is not directed at children.

Your rights (UK GDPR)

You have the right to access, correct, or delete the personal data we hold about you, to object to or restrict its processing, and to data portability. You can delete tenancy records in the app yourself, or email us to erase your entire account. To exercise any of these rights contact support@checkoutproof.co.uk. You may also complain to the UK Information Commissioner's Office (ICO).

Changes

We may update this policy; the date above will change. If we materially change what data we collect or how we use it, we will revise this policy and the app-store data declarations to match.
